Group & Request Bookings
Let several students share one time slot, or let students propose their own times for you to approve.
Most meetings are one student, one time slot. But two extra styles cover other needs: a group meeting where several students share one slot, and a request booking where a student suggests a time and you approve it.
Group meetings
A group meeting lets more than one student book the same time slot, up to a limit you set. This is ideal for group office hours, a study session, or a small workshop.
How to set it up
- Open the meeting plan in Admin → Bookings → Meeting Plans.
- Turn on group booking and set the capacity — the maximum number of students per slot.
- Click Save.
How it works
- The slot stays open until it reaches its capacity. Each student books their own spot.
- When the slot is full, it no longer appears for new students.
- Everyone in the group gets the same meeting link or location and the same calendar invite.
What the student sees
The student books a spot in the slot just like a normal meeting. They may see how many spots remain. Once the group is full, that time disappears from the booking page.
Request bookings
A request booking flips the usual flow: instead of picking from fixed open times, the student proposes a time (and can add a note about what they need), and you approve it before it becomes final. This suits meetings where the timing is flexible or needs your judgment.
How it works
- The student opens the booking page and suggests a time, with an optional note.
- The booking arrives as Requested — it is not yet on the calendar.
- You review it in your dashboard and either confirm it or let it go.
- When you confirm, it becomes Confirmed: the meeting link and calendar invites are created and everyone is notified.
What the student sees
After proposing a time, the student is told their request is awaiting approval. When you confirm, they receive a confirmation and a calendar invite. If a request is not approved, it simply does not become a meeting.
A Requested booking is waiting for your approval. A Pending booking is waiting for payment. Keep the two in mind when reviewing your dashboard — see Managing bookings.
Good to know
- Group meetings and request bookings are set per meeting plan, so you can mix styles across the meetings you offer.
