Calendar & Video Connections
Connect Google Calendar, Google Meet, and Zoom so meeting links and calendar invites are created and kept in sync automatically.
Connect your calendar and video accounts once, and the system handles the busywork for you: meeting links are generated, calendar invites go out, and changes stay in sync. You only need to connect the accounts you actually use.
What you can connect

| Google Meet | A Google Meet link is created for each online meeting and added to the invite. |
| Zoom | A Zoom link is created for each Zoom meeting and added to the invite. |
How to connect an account
- Go to Admin → Bookings → Integrations.
- Find the service you want — Google or Zoom.
- Click Connect and sign in to that account when asked.
- Approve the access it requests.
- The connection now shows as connected, and links and invites will be created from it.
To stop using a connection, click Disconnect on the same page.
What gets created automatically
Once a booking is confirmed (a free booking, a paid booking after payment, or a request you approve), the system:
- Creates the meeting link for online meetings (Google Meet or Zoom).
- Adds the meeting to the connected calendar and sends invites to everyone attending.
- Updates or cancels those calendar events whenever a booking is rescheduled or cancelled, and notifies attendees.
Keeping things in sync
When you connect Google Calendar, your bookings and your calendar stay aligned. If a meeting moves or is cancelled, the calendar event updates to match, so your day always reflects what's really happening.
What the student sees
The student gets a calendar invite with the correct date, time (in their own time zone), and the join link or location. If the meeting is rescheduled or cancelled, their invite updates automatically and they are notified.
If a meeting plan uses Google Meet or Zoom but the matching account is not connected, the online link cannot be created automatically. Connect the account before taking bookings for that plan.
Good to know
- In-person and phone meetings do not need a connection — the address or number you enter is used directly.
- You can connect more than one service at the same time and choose the right one per meeting plan in Meeting plans.
