Managing Bookings
View, confirm, reschedule, and cancel bookings from your dashboard — and understand booking statuses, time zones, and extra guests.
Your bookings dashboard is the single place to see and act on every meeting. From here you can find a booking, confirm a request, reschedule, or cancel — and your students can manage their own bookings too, within the deadlines you set.
The bookings dashboard
Go to Admin → Bookings → Meeting Schedules to see all your bookings. You can:
- Search for a booking by student name or meeting.
- Filter by status, by meeting plan, or by date.
- Open any booking to see its full details — who booked, when, the location, any guests, and notes.
Booking statuses
Every booking has a status that tells you exactly where it stands.
| Status | What it means |
|---|---|
| Confirmed | Booked and on the calendar. Attendees have the invite and the link. |
| Pending | Held while it waits for payment. Becomes Confirmed once paid. |
| Requested | A student proposed a time and it is waiting for your approval. |
| Rescheduled | The meeting was moved to a new date or time. |
| Cancelled | The meeting was called off by you or the student. |
| Expired | A pending booking that was not paid in time, so the slot was freed. |
Confirm a request
For request bookings, open the Requested booking and click Confirm to lock it in. The meeting link and calendar invites are then created and everyone is notified. See Group & request bookings.
Reschedule a meeting
Both you and the student can move a meeting to a new time, as long as it is before the reschedule deadline you set.
- Open the booking and click Reschedule.
- Pick a new open time.
- Confirm. The calendar event updates and everyone is notified of the new time.
Cancel a meeting
Both you and the student can cancel, up to the cancellation deadline.
- Open the booking and click Cancel.
- Confirm. The calendar event is removed and everyone is notified.
The reschedule and cancellation deadlines come from the meeting plan's rules. Set them in Availability & booking rules.
Extra guests
A student can invite additional guests to a meeting beyond themselves, when the plan allows it. Each guest is added with their own details and receives the calendar invite and meeting link along with the main attendee.
Time zones
Time zones are handled for everyone automatically:
- The student sees and books times in their time zone.
- You see them in your time zone.
- The calendar invite shows each person the correct local time.
This means no one has to do time-zone math, and meetings start when everyone expects.
Unpaid bookings expire on their own
When a booking is waiting for payment and the student does not pay in time, it expires automatically and the slot opens back up. You do not need to clean these up by hand. See Charging for meetings.
What the student sees
Students can view their own bookings and, within the deadlines, reschedule or cancel them. Every confirmation, change, and cancellation sends them an updated notice and calendar invite, so they always have the latest details.
